Terms and Conditions

This Rental Agreement (this “Agreement”) is made effective between Fort Explorers, LLC (the “Company”) and Client (the “Client”) as of the date electronically signed by the Client and states the agreement of the parties as follows:

 Payment Requirements:

The Company accepts all major credit cards through Stripe as well as Venmo. 50% of the invoice balance must be paid to reserve your party date and theme. The invoice will hold the requested date and theme for 24 hours once sent. If the invoice is not paid, the date and theme will become available for other potential customers. All party balances must be paid no later than 2 days before your scheduled party (e.g., If reservation is on Friday, balance must be paid in full by end of day Wednesday).

Refundable Damage Deposit:

$50 for slumber tent rentals or $100 for outdoor bell tent rentals. The damage deposit is included as a separate item on the invoice.

 Client Responsibility:

The Client is responsible for providing a clean and clear area in which the rental equipment will be set up. The Company will not move furniture or set up equipment in a potentially hazardous area. Failure to provide sufficient space may result in cancellation of part or all rental equipment.

The Client is responsible for communicating any damaged and/or defected rental items. Immediately following set up, you will receive a checklist to review the presence and condition of the rented items. The Client is responsible for the security of the rental equipment at all times during the rental period. Children must be supervised by an adult during the rental period. The rental equipment and accessories are not to be moved to another location. Tents and accessories must be available for pick up the following day by the agreed-upon time unless an exception to the pickup time is previously agreed by the parties in writing.

Failure to follow through on client responsibilities may result in an additional billing of up to 50% of the original rental fee in addition to any damages/losses exceeding the damage deposit.

Liability:

Fort Explorers, LLC assumes no responsibility or liability for accidents, damages, or bodily injury. In the event of damage or loss of our inventory and/or damage or loss to the party’s location, the financial responsibility lies entirely on the client.

Fort Explorers, LLC is not responsible for allergic reactions or any other medical reaction stemming from the use of our tents and accessories during the party. In the case of liability and/or financial burden, the responsibility lies strictly with the client. The recommended age for slumber tent rental usage is 5 years and older.

Delivery and Set Up:

Unless otherwise stated, delivery, set up, styling, collection, and general laundering/sanitizing by the Company are included in the rental cost. Prices include delivery to locations within Clarksville, TN. If located outside of Clarksville, there is no delivery fee up to 10 miles (one way) from Clarksville, TN 37043. Locations further than this will incur a travel fee as outlined in the Travel Fee schedule at www.fortexplorers.com/tents.

Saturday and Sunday deliveries typically occur between 9 am and noon. A 1-hour window for arrival will be provided after the final payment is made, no later than 24 hours before the party date. The Client is responsible for being present to accept delivery of the equipment. If the hiring client is unavailable, an individual at least 18 years old must be present at the Client’s location to accept and sign for the rental equipment.

The time required to complete set up and styling is approximately 1 hour, but it may take more or less time depending on the number of tents and add-ons requested. We ask that no children or guests are in the party area during set up or collection.

Collection the following day is typically scheduled between 10 am and 1 pm. A walk-through will be performed prior to breakdown to confirm there are no damages or issues.

 Pets & Smoke-Free Requirements:

We ask that no pets are in or directly around the party setup area. All parties MUST be set up in a smoke-free environment. We reserve the right to charge a $50.00 Cleaning Fee as well as the surrender of your deposit if the tents and party accessories are soiled with the smell of smoke.

Food and Beverage:

All tomato-based entrees or messy foods are not to be served on bed linens in order to keep them from being stained. Only light snacks may be eaten inside the tents. (e.g., popcorn and pretzels). All beverages should be light-colored or clear (i.e., no dark cola products or fruit punch).
While we understand accidents can happen, you may be held responsible for any damage to any of Fort Explorers, LLC property. Any food or pet stains on the tents or party accessories may incur a cleaning fee in addition to loss of the damage deposit.

Damages:

The Client is responsible for damages to the property of Fort Explorers, LLC from that of the hiring client and/or guests. Damage and/or defacement other than normal wear and tear of property belonging to Fort Explorers, LLC will result in assessment of charges to the Client and forfeiture of damage deposit. Any lost, damaged, or destroyed equipment will be charged to the Client at full replacement value.

Cancellation and Refunds:

The following applies to any cancellation made for any reason by the Client. The damage deposit as well as any party fee already paid will be 100% refunded only if the cancellation occurs at least 14 days prior to the reserved date. For cancellations between 13 and 8 days prior to the party, any funds paid to-date can either be (1) applied to the cost of another party if held within 90 days or (2) refunded at 50%. No refund or future credit will be given for cancellations within 7 days of the party. If you need to reschedule, we will work with you to find an opening in our schedule.

Damage deposits are refunded within 3 days after pickup and inspection that no damage is done to products. If there is damage to any of the rental items, the deposit may be partially or fully withheld based on the replacement price list.

Fort Explorers, LLC reserves the right to cancel any party for any reason we feel that would affect the safety of our staff, themed party inventory, and/or conflicts that arise with the hiring clients. If Fort Explorers, LLC must cancel the reservation for any reason prior to set up arrival, any funds paid by the client will be 100% refunded. Refunds will not be provided if the Company must cancel the reservation upon arrival due to, but not limited to, the presence of smoke, hazardous party area, or insufficient space.
